When is pay day?

I am an Adjunct Faculty member. How can I confirm that I received the correct payment?

To view your payslip:

  • Log into Workday > navigate to your profile > Pay > View Pay Slip

To know the details of the courses paid for:

  • Log into Workday > Go to your Profile > Compensation > Under Current Activity Pay > See Activity

I just received my first pay check and it is a bit confusing. Can you  help me understand my paycheck?

What is the difference between adjustment codes CT5, CTS and CTT? How do I know which code to use?

  • CT5 is comp time earned at time and one-half. Example (3 hrs worked X 1.5 = 4.50 hrs earned)
  • CTS is comp time earned at straight time. Example (3 hrs worked X 1 = 3 hrs earned). Most CWA Titles earn comp time at 1.5 rate after 35 hours except for 40+ Titles, they earn the first 5 hours worked after 35 hours at CTS, than they earn at CT5 (1.5 rate) after 40 hours
  • CTT is comp time taken. Used when the employee chooses to charge earned comp time.

I want to change my direct deposit allocations. What do I do? 

In Workday there are multiple ways to access the same information. To change the direct deposit, Log into Workday and navigate to the Menu on the left top and click on pay > payment election.

The Pay tab is also accessible in your profile in workday

I need to print copies of my paycheck and/or W2 form. Where can I find them?

Workday > Go to your profile >Pay > My Tax Documents

How can I change my Federal and/or State tax withholding? 

Workday > Go to your Profile > Pay > Withholding Elections

Where can I find my leave balances?

In your Workday Profile > Absence

How much accrued leave time can I roll over at the end of the year?

  • Vacation leave: Classified employees, and AFT: A maximum of one year's vacation leave entitlement in the Calendar Year may be carried forward into the next year. Higher Education Managers may carry forward to the next Fiscal Year up to one year's allotment of vacation days. Faculty do not receive vacation leave
  • Comp Time: The maximum rollover for compensatory time is 80 hours for employees eligible for comp time.
  • Sick leave: rolls over continuously for all employees.

Which code should I use on my Timesheet if I have to be off work and I run out of earned time?

If you exhausted all of your leave earnings, you may use the docking code "DOC" for the number of hours of the absence. The only other option is to apply for Voluntary Furlough. This program allows the employee to take unpaid leave time while maintaining seniority and benefits (Please view the Program guidelines and FAQ’s on HR website). Applicants must submit a “Voluntary Furlough Request” at least twenty (20) days prior to the start of the furlough. Requests must be approved by the supervisor/manager/dean and forwarded to the Division Vice President. The completed, signed and approved form should then be forwarded to the Office of Payroll & Employee Benefits for final review. If approved, you can use FUR earning Code on your timesheet.

Which code should I use on my Timesheet for bereavement leave?

  • There is no earned time for bereavement. If an employee has to attend funeral services for immediate family, they may use sick time. The amount of time allowed for bereavement time is 3 sick days for local funeral services and up to 5 sick days for funeral services that requires travel.
    There are exceptions to this threshold which are reviewed on a case-by-case basis. If the employees needs to attend a funeral for someone other than immediate family, they may use vacation, personal or comp time.
  • Employees must upload documentation in Workday.

If I get a summons for Jury Duty (JD), what is required to take time off to serve and will I still get paid?

  • Employees should report the JD to their immediate supervisor. Employees must report to serve jury duty according to the summons. Employees  must upload documentation in Workday. 
  • William Paterson University is a state agency, employees will not receive payment from the Jury Commission for the dates served, but they will receive their regular pay from the University.

The University had a delayed opening at 12 p.m. due to inclement weather. If an employee chooses not to come to work that day, should he/she charge only a half-day vacation, personal leave, or comp time?

If the employee does not report to work when there is a delayed opening, the employee must charge earned time (vacation, personal leave, or comp time)  leave for the entire day.

If the university is closed due to inclement weather and an employee had a scheduled day off, does the employee still have to charge the time off for that day?

Yes. Employees with a previously scheduled day off must charge time off for that day even though the University is closed.

I am a new employee. How do I complete my timesheet?

I am a manager. How do I approve timesheets for my team?

Once timesheets are submitted by the employee, you will have an outstanding task in Workday. All timesheets must be approved by Monday 7:00PM of pay week. Click here for the Quick Reference Guide on how to view team timesheets in Workday.

I am a manager. Where can I find the leave balances for my team?

To find leave balances and other information regarding your team member(s), please log in to your Workday > Team Absence Calendar.

Does William Paterson University offer dental insurance?

The State Health Benefits Program (SHBP) offers a choice of two dental care programs for eligible full time employees. Please click here for more information.

I am a new hire. What retirement plan or pension system will I belong to?

Does William Paterson offer a 401K plan?

No. However, the University offers a similar 403B plan to eligible employees. Based on IRS regulations employees can elect to tax shelter a percentage of their paycheck for retirement each pay period.  Employees can choose to establish an account and invest their contributions from a list of six authorized providers (TIAA, MetLife, Voya, AXA Financial, Mass Mutual and Valic). In addition, the University also offers a 457 tax shelter plans to eligible employees. Prudential Financial Services is the provider for this plan. For more information, please click here.

What is MBOS?

The Member Benefits On-Line System (MBOS) provides members of PERS, PFRS and TPAF the capability to access their retirement account, health benefits information, make beneficiary changes, apply for a loan and much more. Employees are encouraged to register as soon as they are enrolled in pension.

How can I find out my pension membership number?

Members of PERS, PFRS, and TPAF can find their membership number in workday. It is in your Profile > Personal > IDs.

What happens to my PERS pension if I leave William Paterson University for another job that is not a state institution?

If you are vested (have a least 10 years of service credit) when you terminate employment, you can apply for a Deferred Retirement.  If you are not vested and do not resume active membership within two years, your account will automatically expire and you will receive a request to withdraw your contributions.

What happens to my ABP or DCRP pension if I leave the university?

A member becomes eligible to begin collecting distributions at any age upon termination of employment.  However, if a member is vested and commences distributions he/she will be considered retired and ineligible to ever join ANY NJ state retirement plan or re-enroll in the ABP,

Do I have life insurance?

Most employees who are enrolled in a NJ state pension system are eligible for life insurance. Click here for more information.

Eligibility and the amount of life insurance varies based on an employee’s age and pension system in which he/she is enrolled. To designate a beneficiary, please see below:

  • PERS and PFRS members must name their beneficiaries on line through MBOS
  • ABP and DCRP members must submit a paper Beneficiary of Designation Form directly to the Division of Pensions and Benefits.

How do I designate or change my beneficiaries for my life insurance?

I was injured during work hours. What should I do?

In the event that you are injured or are diagnosed with an Occupational Disease during the course of your employment, you are required to notify your immediate supervisor and call the Payroll and Employee Benefits office at extension 2624,no later than the end of the workday on which the injury occurred or the date on which you became aware of the occupational disease.

Form RM2 (State Of New Jersey Employer’s First Report of Accidental Injury or Occupational Disease) must be completed by the injured employee, reviewed and signed by his/her immediate supervisor and submitted to the Payroll and Employee Benefits office within 48 hours of the accident.

How do I update my Address?

To change address with William Paterson University, please navigate to WP Connect > WPUNJAPPS > Workday > View Profile > Contact > Edit.

What is needed for a Name Change?

A request to change your name in the University’s system can be made in Workday: View Profile > Personal Information > Names > Edit. Or search for ‘change my legal name’ in Workday

Please note: A personal name change needs supporting documentation before it appears in the system. This documentation should be attached to the Workday request.

Who can provide a Proof of Employment letter for mortgage, loan, citizenship etc… with my job title, salary, date of hire?

Is William Paterson University a qualifying employer for the Public Service Loan Forgiveness (PSLF) program?

Yes, eligible PSLF borrowers must utilize The Work Number for completion of the employer’s information.   More information can be found here.

I am a supervisor and I am completing an ePAR, who can answer my questions?

I am new to the ePAR process, how do I get a login?

How can I review my personnel file?

Send a request to humanresources@wpunj.edu to make an appointment to review your Personnel file 

I am a new employee, when can I expect to receive my email address/login?

Once your assignment is processed, IT will create an email address, inform and provide you with your email address 

I applied for a position at William Paterson University, can you tell me the status?

There is a process of reviewing resumes and you will receive a status update from the University’s HR Talent/Acquisition Unit to the email provided on your Profile. 

What is the process to hire a Temporary worker from a Temp Agency?

Send an email/memo seeking authorization to hire an Agency Temp to Will de Veyga, Vice President for Strategic Initiatives and University Relations, Beth Walkley, AVP Budget and Fiscal Planning and humanresources@wpunj.edu  requesting a temp.  Provide: 1) Title; 2) Effective date & duration of assignment; 3) Bill rate; 4) Reason for Temp request; and 5) Budget/funding source. I am a student and I completed paperwork for a job, why haven’t I received a paycheck?

Your supervisor is the first point of contact for help in determining the reason for delay of anticipated payment.

I was called for Jury Duty, who do I need to notify?

Notify your supervisor and provide the documentation from the Court with the dates you served to the Human Resources at humanresouces@wpunj.edu.

Where can I find information regarding the retirement process?

I am retired, who would I speak with regarding Pension/Health/Dental benefits?

Retirees must contact the State of NJ - Division of Pensions & Benefits at 609-292-7524 with any pension, health benefits/prescription drug/dental or life insurance questions 

I have an employee that is separating employment. What is the process to notify Human Resources?

  1. Initiate the termination in Workday WP Connect > Workday > Search Terminate Employee
  2. Please forward the resignation letter that was accepted by the manager to human resources. 

I am a supervisor, why am I receiving reminders to complete the Separation Clearance Procedure for an employee that is leaving?

The Separation Clearance Procedure must be initiated by the employee that is leaving.  Once the employee acknowledges receipt, the supervisor will then be able to complete their portion of the Separation Clearance Form. 

What do I do with any equipment a separating employee returned?

Send ID card to Human Resources, located in College hall, Rm#150

Collect all technology equipment assigned to employee (laptops, iPads, cellular phones/devices, or equipment provided for home use)

How To:
Once items have been collected, create a Helpdesk ticket for IT at www.wpunj.edu/helpdesk under the ‘Hardware -> Pickup or Move’ ticket type detailing what has been retrieved and requesting the items be picked up. Please note: all equipment provided by IT must be returned and not held by the department for future use.

How do I update an employee’s costing allocations?

This is done in Workday through the assign costing allocation task.

I need to update a Functional Title. Where can I make that change?
